Move Inventory

Inventory moves can be performed from the main menu or within the majority of Inventory Reporting reports in Deacom. The optimal process for moving inventory is to perform the move at the most specific level, such as from a "Locations" or "Lots" report. When performing the moves at the most specific level, the "Part Number", "Source Facility", "Source Account", "Source Location", "Source Lot", and "Balance" fields are already populated. Multiple pick lists are available to select different values for these fields when reviewing a list with multiple Lots/Locations – but if selecting a specific Lot, the need to modify these is not necessary and potentially reduces the chance for mistakes.

The security setting "Inventory -- move inventory" controls the ability to move inventory from the main menu and when using the "Move Inventory" button in reports throughout the system. Also, if Lots are in the In-Transit inventory segment, users can be prevented from moving them via the "Inventory -- move in-transit inventory" security setting.

Once a Part has been selected on the Move Inventory form, the system will populate the form using the following priority:

  • Data from the Part's Item Master Facilities tab (use same Facility as the system's default Facility if it exists, if not then use the first Facility).
  • Data from the Part's Item Master General 1 tab.
  • The default Facility, default Location Type, and default Location.

This logic also applies in the Move Inventory from accessed from a "Lots" report but only for the "New Facility", "New Location Type", and "New Location". If the "Source Facility" or "New Facility" field is changed, the Location Type and Location will change to the selected Facility's default Location Type and default Location.

Description

Apply

If clicked, commits the changes and completes the move.

Part Number

Search field used to select the appropriate Part Number.

  • Part Numbers are not required.
  • If no Part Number is entered, all items in the "Source Location" specified will be moved to the "New Location".

Description

Displays the Part Number Description.

Expired

Pick list used to indicate if expired, non-expired, or all inventory should be included in the transaction.

  • Filters on the "fi_expires" field.
  • When accessing this form via a "Lots" report this field will be is set to "All" and cannot be changed.

Source Facility

Indicates the Facility in which the inventory to be moved is currently located.

  • When performing inventory moves from the main menu, this field will populate with the Facility flagged as "Default".
  • When performing moves from an Inventory "Locations" or "Lots" report, this field will default based on the Facility for the Lot or Location selected.

Source Account

Indicates the inventory account associated with the "Source Facility" selected.

Source Location Type

Indicates the Location Type in which the inventory to be moved is currently located.

  • When performing inventory moves from the main menu, this field will allow any Location Types that belong to the "Source Facility" selected.
  • When performing moves from an Inventory report, this field will only display the Location Type based on the selected line on the report.

Source Location

Indicates the Location in which the inventory to be moved is currently located.

  • When performing inventory moves from the main menu, this field will allow any Locations that belong to the "Source Location Type" selected.
  • When performing moves from an Inventory report, this field will only display the Location based on the selected line on the report.

Source Container

Indicates the Container in which inventory to be moved is currently located.

Source Lot

Pick list used to select the specific Lot that will be moved or indicate that all Lots should be moved.

  • When performing inventory moves from the main menu, this pick list will display all Lots that are in the "Source Location" selected.
  • When performing moves from an Inventory report, this pick list will only display the Lot based on the selected line on the report.
  • To move all available inventory within the location, the security permission "Inventory -- allow move of entire location" must be enabled for the user.

Serial Number

Displays the Serial Number for the selected Lot. Refer to Utilizing Serialization for more information.

Move From

Pick list used to determine the inventory segment from which material should be moved. Options are:

  • Inventory
  • Pending - Requires the security setting "Inventory--Move Pending Receipt".
  • Quarantine - Requires the security setting "Inventory -- move from quarantine"
  • Staging - Requires the security setting "Inventory -- move from staging"
  • Staging - Job
  • Staging - Sale
  • Vehicle

Notes:

  1. Version 15.05.117 adds the "Input Quantities When Moving From Direct Staging " field to Inventory > Options. When this field is checked, and "Staging-Job" or "Staging-Sale" is selected in either the "Move To" and "Move From" field, the "Quantity" field will be enabled on the form. The default quantity will be set to the total staged quantity for the specified Job or Sales Order. Additional information is available vie the link in the first sentence.
  2. The Move From options of "Staging-Job" and "Staging-Sales" were added back to this field in version 17.04.006.0000.

Move To

Pick list used to determine the inventory segment to which material should be moved. Options are:

  • Inventory
  • QC Pending - Allows Lots that were previously tested to be re-tested or Lots that were not tested but have an active QC Group attached to be tested. When using this option, entire Lot quantities must be moved. This option is useful with the following scenarios:
    • Lots that were received, tested, and placed into inventory may be moved to "QC Pending" then tested via Purchasing > QC Result Entry.
    • Lots for Parts with active QC Groups on their Item Master are adjusted into inventory. These lots may be moved to "QC Pending" then tested via Purchasing > QC Result Entry.
    • Lots that were produced, tested, and placed into inventory may be moved to "QC Pending" and tested via Production > QC Result Entry.
    • Production situations where Stability Result Entry occurs. Lots that were not tested as part of the process may be moved to "QC Pending" then tested via Production > QC Result Entry.
    • Note: If a Job was produced without QC and the user wants to move it back to QC, the user first has to update the BOM revision to have QC. When this is done, and the user moves the Lot back to QC, the revision will get updated to the current revision with the QC.
    • If a lot is selected that has a QC Status of QC Pending, the system will default the Move To field to "QC Pending."
    • Beginning in version 17.02.011, the Inventory > Options field "Require New QC Results After Move To QC Pending", along with the "Quality control -- edit qc results prior to move to qc pending" are optional features that may be leveraged to manage additional QC tests.
  • Quarantine - Requires the security setting "Inventory -- move to quarantine"
  • Staging - Requires the security setting "Inventory -- move to staging"
  • Staging - Job
  • Staging - Sale
  • Vehicle

Date

Indicates the date with which inventory moves will be posted.

Unit

If a different unit is selected in this field, the system will convert the quantities in the "Balance" and "Move Quantity" fields to that unit of measure. Useful for converting quantities on the fly when moving parts in units other than the stock unit of measure.

Balance

Indicates the inventory quantity based on the selected source information.

Move Quantity

Indicates the desired amount of inventory that will be moved.

  • This field can be defaulted to populate with the same quantity as the "Balance" field via the "Default Move Quantity To Lot Balance" flag in Inventory Options. This flag affects both the main application and WMS.

Container Unit

Indicates the Unit used to measure a Container of this Part.

Job Number/Sales Order

Displays respectively if choose "Staging - Job" or "Staging - Sales" in the "Move From" field, otherwise grayed out. Searchbox for all Jobs/Sales Orders of the selected type that has inventory staged to it.

New Facility

Indicates the Facility into which the inventory will be moved.

  • There is no security to restrict users from moving Lots between Facilities, but Facility restrictions do apply in this form.
  • The security setting "Inventory -- Move Reserved Inventory" is useful in situations where users are to be given permission to move reserved inventory between Facilities.
  • A separate security exists to allow inventory to be moved between Facilities.

New Location Type

Indicates the Location Type into which the inventory will be moved. Defaults to the Source Location Type but can be overridden. 

New Location

Indicates the Location into which the inventory will be moved. Defaults to the Source Location but can be overridden.

New Container

Container to which inventory will be moved.

  • Lots with a serial number matching the number of the container they are in will not be moved to the new container during a full container move.

New Account

Indicates the inventory account that should be associated with the Lot once moved.

  • If selecting a different Facility, the Facility's default account will be displayed.
  • Security exists to control the ability to change the account selection.
  • There may be cases when a user wishes to change the inventory account when performing a move in the same Facility to a different Location.

Notes

Memo field used to store details regarding the move.

Reason Code

Drop down box used to a select a Reason Code for the move. Reason Codes are maintained via Inventory > Maintenance > Reason Codes.

Copy Notes

If checked, the "Notes" field will be grayed out and any notes in the field will be retained when performing inventory moves for this Part/Lot.

Retain Current Location

If checked, the New Facility, New Location Type, and New Location fields will be automatically filled with the current location. This will prevent the selected Lot from being moved.

  • This checkbox is only available to check if there is a value in the Source Lot field.

Print Lot Label

If checked, a lot label will be printed for the lot being moved after the move is completed.
